I-2. (For KAKENHI Recipients) Procedures of Adopted KAKENHI

1. Formal Application for Grant Delivery

(Successful Applicants)

Successful applicants should submit a formal application for grant delivery to receive Kakenhi from the funding agency (JSPS). Please submit a formal application for grant delivery through Kakenhi Application System.

Necessary information on procedures of the formal application for grant delivery will be given by our staff office.

 

(Unsuccessful Applicants)

If researchers wish to disclose the result at the time of proposal submission, the screening result (scores) will be disclosed to unsuccessful applicants.

-Information on adopted projects and information on the state of implementation, the results and the research achievements will be opened to the public on Kakenhi Database.

2. Required Reports

Kakenhi grantees must submit a report on the state of implementation (for Multi-year funds*) or a report on the research results (for Series of Single-year grant*) every fiscal year, and a report on the research achievements (both Multi-year funds and for Series of Single-year grant ) when the research period is completed.

Our staff office will inform Kakenhi grantees of the procedure and the submission deadline.

Please note that the reports will be opened to the public to disseminate the research achievement through Kakenhi Database between November and March.

3 Acknowledgements

When publishing research achievements that have been obtained as a result of a Kakenhi, researchers should always be sure to indicate that a Kakenhi was received.

Please note that researchers should include JP and the 8-digits JSPS Kakenhi Grant Number in the acknowledgements as follows:

4. Kakenhi Logo

When announcing the achievements of research funded with a Kakenhi at an academic society meeting, a symposium, or other meetings, researchers should make use of the Kakenhi logo whenever possible.

5. When to start spending the fund

After the provisional grant decision is informed by JSPS, Kakenhi grantees may start spending Kakenhi.

The official grant decision will be informed by the funding agency. We will pass a letter of grant decision to Kakenhi grantees after we receive it from JSPS. Please keep it with you.

The dates of the provisional grant decision and the official grant decision vary depending on the research categories for Kakenhi.

Please make sure to spend the fund in a planned manner. Also please contact the following section well in advance when you use your Kakenhi. All purchases of consumables and equipment are handled by Kavli IPMU Administration Office.

6. Carry- over procedure

<Scientific Research (C), Early-Career Scientists, Challenging Research Pioneering/Exploratory, Research Activity Start-up and JSPS Fellows (JSPS International Research Fellow)>

If you need to carry the remainder at the end of FY to the next fiscal year, you can carry it over without taking any procedure to JSPS.

 

<Scientific Research (A/B), Innovative Areas and Transformative Research Areas>

If you need to carry the remainder at the end of FY, you are required to take designated procedures to JSPS around January.

7.Request for Advance Payment

<Scientific Research (C), Early-Career Scientists, Challenging Research Pioneering/Exploratory, Research Activity Start-up and JSPS Fellows (JSPS International Research Fellow)>

If your research project is progressed faster than expected, you may apply for request for Advance Payment of the budget in the following year.

It is NOT allowed to submit the request of Advance Payment for the reason that you will leave Kavli IPMU. For details, please consult our budget control section (finance@ipmu.jp) well in advance.

 

<Scientific Research (A/B), Innovative Areas and Transformative Research Areas>

If your research project is progressed faster than expected, you may apply for request for Advance Payment of the budget in the following year.

The date when you can spend the additional budget varies depending on the application period. For details, please consult our budget control section (finance@ipmu.jp) well in advance.

8. Extension of the research period

The Multi-year fund can be extended for a period of one year by going through the procedures for the acceptance of extension of the funded project during the last year of the project.

The Single-year fund can be also extended for one year by taking carry-over procedure in the last year of the project.

9. Resignation

If a Kakenhi grantee wishes to resign Kavli IPMU during the research period, please let  our budget control section know well in advance.

We will let you know the necessary procedure and request you to submit required documents.

When you leave Kavli IPMU, you will lose your eligibility to apply for Grant-in-Aid and your Grant-in-Aid will be terminated.

However, if you are transferred to a research institution in Japan the day after you resign (with no interval) and are eligible to apply for a Grant-in-Aid at the institution, you may be able to continue your research, so be sure to contact the budget control section.

10. Spending Rule

Please refer to the Kakenhi Handbook which will be opened by JSPS every August.

11. Penalty

Those who fail to use the funds appropriately according to the rules will be subject to penalties including restrictions on fund grants, being asked to return funds on applying for funding.

In principle, an outline of the fraud, including the names of researchers found to have committed fraud, is made public.
